Punch Validation

Use the Punch Validation work rules to select criteria for when in or out Time Clock punches are accepted or rejected based on employees' schedules. With these work rules, you can specify time frames for when employees are locked out of the Time Clock and when they receive warning notifications on the Time Clock screens.

Notes:

  • You must have scheduling features for these rules to apply.
  • These rules only affect Time Clocks.
  • Employee's rejected punches are recorded in their time cards.

The Punch Validation work rule type contains the following work rules:

No In Punch Validation

Description

Indicates that no punch validation is performed.

Tips

Use the No In Punch Validation work rule if some of the employees in your company are salaried and others are hourly (and use Time Clocks). Apply this rule at the property level and then apply lockout rules at the required employee set or employee levels.

Note: Only use the No In Punch Validation rule if some employees do not require punch validation but others do require punch validation. If no employees in your company require punch validation, do not apply a Punch Validation work rule.

In Punch Schedule Lockout

Description

Validates in punches based on configured time frames for employees' scheduled in punches.

Employee's rejected punches are recorded in their time cards.

Note: UniFocus recommends that you use the In Punch Schedule Lockout, Allow Unscheduled rule rather than the In Punch Schedule Lockout rule. The In Punch Schedule Lockout, Allow Unscheduled rule contains all the functionality of the In Punch Schedule Lockout rule, but with the additional capabilities of allowing for unscheduled shifts. Tips

Use the In Punch Schedule Lockout work rule to configure a time frame during which in punches are rejected and/or employees receive a warning.

  • Do you want to lock out your employees? If yes, select the check box for Enable Lockouts.
  • Do you want to warn employees that they're punching in outside of scheduled time? If yes, select the check box for Enable Warnings.
  • If you don't need to lock out or warn employees, you do not need this rule.
  • If you're configuring both lockout and warning, any punch outside of the warning grace period but inside the lockout grace period should be warned.

Note: Typically, employees should not clock in more than 15 minutes before their scheduled start time.

Enable Lockouts

If selected, lockouts are enabled based on employees' schedules. Employees are not allowed to punch in if they are outside the configured Lockout Grace Pre Schedule and Lockout Grace Post Schedule time frame.

Enable Warnings

If selected, warnings are enabled based on employees' schedules. Employees are allowed to punch in, but they receive a warning message if:

  • They are outside the configured Warning Grace Pre Schedule and Warning Grace Post Schedule time frame.
  • They are inside the configured Lockout periods.

These warning messages appear on the Time Clock screens when employees punch in.

Invalid Job Warning Message

Enter a custom message that appears when employees attempt to punch for the incorrect job and the Job Lockout Level is set to Warn.

If you do not enter a custom message, employees see the following default message:

You are trying to punch to a job you are not scheduled to work. This punch may require manager authorization. Press Yes to perform action now. Press No to perform action later at your scheduled shift time.

Job Lockout Level 

Determines whether validation of in punches to the scheduled job is required. Options include:

  • None—If selected, employees can punch in to any job to which they have access, whether it is their scheduled job or not.
  • Warn—If selected, employees see a warning message on the Time Clock if they try to punch in to a job for which they are not scheduled.
  • Lockout—If selected, employees can only punch in to their scheduled jobs.
Job Lockout Message

Enter a custom message that appears when employees attempt to punch for the incorrect job and the Job Lockout Level is set to Lockout.

If you do not enter a custom message, employees see the following default message:

You are attempting to punch to a job you are not scheduled to work. Your punch will be recorded for Manager approval.

Lockout Grace Post Schedule

The grace period, in minutes, for when employees can punch in after the scheduled start time.

Employee's rejected punches are recorded in their time cards.

Example: If you set the grace period to be 15 minutes, employees who are scheduled at 08:00 but do not punch in until 08:16 will not be allowed to punch in. If they punch in at 08:14, the punch is allowed.

Lockout Grace Pre Schedule


The grace period, in minutes, for when employees can punch in before the scheduled start time.

Employee's rejected punches are recorded in their time cards.

Example: If you set the grace period to be 15 minutes, employees who are scheduled at 08:00 but clocks in at 07:46 will not be allowed to punch in. If they punch in at 07:44, the punch is allowed.

Lockout Message

Enter a custom message that appears when employees attempt to punch outside of the configured lock range.

If you do not enter a custom message, employees see the following default message:

You are attempting to punch outside of the specified lock out range. Your punch will be recorded for Manager approval.

Unscheduled Message

Enter a custom message that appears when employees attempt to punch in unscheduled.

If you do not enter a custom message, employees see the following default message:

You are not scheduled at this time. Your punch will be recorded for Manager approval.

Warning Grace Post Schedule 

Grace period, in minutes, for when a punch is accepted but employees see a warning message on the Time Clock when punching in after a scheduled shift has started.

Example: If you set the warning grace period to be 10 minutes, employees who are scheduled at 08:00 but do not punch In until 08:12 will receive a warning that they are punching in after the established in-punch criteria. If they punch in at 08:08, they will not see a warning message.

Tip: If you are also using lockouts, your lockout period should be greater than the warning. For example, if you want a 15 minute lockout, your grace period should be between 1 and 14. Lockouts take precedent over grace periods.


Warning Grace Pre Schedule

Grace period, in minutes, for when a punch is accepted but employees see a warning message on the Time Clock when punching in before a scheduled shift has started.

Example: If you set the grace period to be 10 minutes, employees who are scheduled at 08:00 but punch in at 07:47 will see a warning message. If they punch in at 07:55, they will not see a warning message.

Warning Message

Enter a custom message that appears when employees attempt to punch within the configured grace period.

If you do not enter a custom message, employees see the following default message:

This punch may require manager authorization. Press Yes to perform action now. Press No to perform action later at your scheduled shift time.

Out Punch Schedule Lockout

Description

Validates out punches based on configured time frames for employees' scheduled out punches.

Employee's rejected punches are recorded in their time cards.

Tips

Use the Out Punch Schedule Lockout work rule to configure a time frame during which out punches are rejected and/or employees receive a warning.

  • Do you want to lock out your employees? If yes, select the check box for Enable Lockouts.
  • Do you want to warn employees that they're punching out outside of the scheduled time? If yes, select check box for Enable Warnings.
  • If you don't need to lock out or warn employees, you do not need this rule.
  • If you're configuring both lockout and warning, any punch outside of the warning grace period but inside the lockout grace period should be warned.

Example: If you set the grace period to be 15 minutes, employees who are scheduled from 08:00 to 14:00 but clock out at 13:44 will not be allowed to punch out. If they punch out at 13:46, the punch is allowed.

Lockout Message

If you do not enter a custom message, employees see the following default message:

Post Punch Limit

Period of time (in minutes) after an unscheduled out punch that

If employees have scheduled shifts during the Post Punch Limit time frame, they cannot punch out unless they are within the shift lockout grace period.

Pre Punch Limit

Period of time (in minutes) before an unscheduled out punch that

searches to detect scheduled shifts. If there are no scheduled shifts during the Pre Punch Limit time frame, employees can punch out for the unscheduled shift. If employees have scheduled shifts during the Pre Punch Limit time frame, they cannot punch out unless they are within the shift lockout grace period.

Enter a custom message that appears when employees attempt to punch in unscheduled.

If you do not enter a custom message, employees see the following default message:

You are not scheduled at this time. Your punch will be recorded for Manager approval.

Warning Grace Post Schedule

In Punch Schedule Lockout, Allow Unscheduled

Description

Validates in punches based on configured time frames for employees' scheduled and unscheduled in punches.

Employee's rejected punches are recorded in their time cards.

 

Tips

Use the In Punch Schedule Lockout, Allow Unschedule work rule to configure a time frame during which in punches are rejected and/or employees receive a warning.

  • Do you want to lock out your employees? If yes, select the check box for Enable Lockouts.
  • Do you want to warn employees that they're punching in outside of schedule time? If yes, select check box for Enable Warnings.
  • If you don't need to do either, you don't need this rule.
  • If you're doing both lockout and warning, anything outside the the warning grace period should be rejected and anything inside the warning period would be warned.

You do not want employees to clock in more than 15 minutes prior to scheduled start.
