UniFocus Mobile App Quick Reference Guide

With the UniFocus Mobile App, you can use your mobile device to:

  • View, manage, and modify schedules, requests, and messages.
  • Call in late or absent.
  • View time cards.
  • View and request open shifts.
  • Clock in to shifts, change jobs, and enter tips.

If you are a manager, you can:

  • View alerts on employee statuses.
  • View and manage employee requests.
  • View call-ins, reassign shifts, and send urgent pickup requests.

Mobile App screens

This page provides an overview of the Mobile App screens:

Main Menu

If you are a manager, the home screen of the Mobile App opens to the Employee Alerts screen. If you are a team member who is not a manager, the home screen opens to the My Time Off Requests screen.

Tap the hamburger menu (  ) to expand the main menu.

If you are a manager, you have access to the relevant manager screens. 

Note: The options that are visible on the home screen depend on your company's property configuration.



Manager options

The Team Administration main menu options and screens below are visible only if you have manager access.


Property Selector

If you manage multiple properties, this feature allows you to easily navigate between properties without having to log out and then log back in. Changing the displayed property adjusts filters and shows employee information specific to the selected property. 




Employee Alerts

The Employee Alerts screen is the manager home screen and appears automatically when you sign in. Alert types appear as icons, which you select to open the detail screens for the alert types.

Icons on this screen indicate which employees are:

  • Approaching break.
  • Late to clock out.
  • Late to clock in.
  • In but not scheduled.
  • Calling in tardy. 
  • Calling in absent.
  • Clocked in.
  • Coming in soon.

By selecting these icons, you can see which employees have triggered the alerts, whether those employees are clocked in or out, and whether there are any details related to the alerts.

Note: Some icons change color based on urgency.

If you select the alert detail from the list, the Employee Profile screen opens. If the employee is clocked in, you can clock out the employee or transfer the employee's job.

You can also see the employee's projected hours for the period, the number of hours the employee has to date for the period, and the employee's current shift information. You can contact the employee via email, text, message, or phone.

Note: Although the Call Ins alert appears in the new Employee Alerts screen, Call Ins also appears as a main menu option. You can access the Call Ins alert either by selecting the option in the main menu or or by selecting the Call Ins icons in the Employee Alert screen.

All alerts change from gray to blue when there is an alert present. 

The following alerts change to yellow when the requirement associated with them is met:

  • Approaching Break—If employees are within x minutes of their scheduled break.*
  • Late to Clock Out—If employees are x minutes past the grace period of their scheduled clock out.*
  • Late to Clock In—If employees are x minutes past the grace period of their scheduled clock in.*
  • In But Not Scheduled—If employees are clocked in but not scheduled.
  • Call In Late—If one of the tardy call-ins is for a shift scheduled to clock in within the next hour.
  • Call In Absent—If one of the call-in-absents is for a shift scheduled to clock in within the next 24 hours.

 * Minutes are configurable.



Call Ins

From this screen, you can:

  • View employee tardy or absent call-ins.
  • Reassign a called-in shift.
  • Make shift an open shift.
  • Contact employees who are calling in.
  • Send an urgent pickup request for the shift that's being called in.


Approve Time Off Requests

 

On this screen, you can see pending, future, and past requests for your direct reports.

  • For pending requests, you can:
    • Sort (  ) by date or job.
    • Swipe left to quickly approve or deny a request.
    • View available paid time off for employees.
    • See detail views by clicking on a request.
    • Approve or deny with comments.
    • Edit employee requests.
  • For future requests, you can:
    • Sort  (  ) by date, job, or status.
    • Click a request to view more details.
    • Change the status of time off requests from denied to approved.
    • Edit requests.
  • For past requests, you can:
    • Sort (  ) by date, job, or status.
    • Click on request to view more details.
    • Edit requests.


Approve Shift Requests

On the Approve Shift Requests screen, you can:

  • View the shift requests of your direct reports.
  • View urgent pickup requests, shift pickup requests, drop requests, swap requests, and giveaway requests.
  • Create urgent pickup requests, which allow you to blast an open shift to employees to request coverage.


Manage Schedules

The Manage Schedules option opens the Schedule Approvals screen. This screen is used in organizations that have a process for writing, approving, and publishing schedules. Based on user permissions, the screen offers flexibility for your schedule approval process, as each organization will have different needs.

The general process of schedule approvals includes the following steps:

  1. A user writes the schedules and then marks them as complete when they are ready for approval.
  2. A user reviews the completed schedules and determines whether to grant approval. Once schedules are approved, they are ready for publishing.
  3. A user publishes the completed schedules so that they are available to employees. Employees view their schedules in the UniFocus Mobile App.

There are three separate permissions to address the three types of tasks that users can perform on the Schedule Approvals screens:

  • Write schedules and mark schedules as complete—Users will see the Mark as Complete button if they have access to the Scheduling screens and have Labor Structure permissions to jobs requiring approval. They are authorized to mark schedules as complete.
  • Approve/unapprove schedules—Users with Labor Structure permissions to approve schedules will see the Approve and UnApprove buttons. They are authorized to approve and unapprove schedules.
  • Publish schedules—Users with this permission will see the Publish button. They are authorized to publish schedules.

You can assign these permissions to match the responsibilities of your managers and the scheduling workflow of your organization. For example, you might split the three tasks between two different users. You can grant one user the permission to mark schedules as complete and another user the permission to both approve/unapprove and publish the schedules.

To access the Schedule Approvals screen:

  • From the Team Administration section of the main menu, select Manage Schedules.

All users can do the following:

  • Select a planning period (  ).
  • Tap a labor structure level to drill down to lower levels.
  • View a variety of scheduling information that will help to determine whether schedules should be approved and published. 

Depending on your permissions, you can do the following:

  • Approve and unapprove schedules.
  • Publish schedules.

Employee Schedules

On the Employee Schedules screen, you can see shift details for all of your direct reports. You can open shifts by job.

 




Team member options

The screens below are available to all Mobile App users.



My Time Off Requests

The Balances section displays the amount of vacation and sick/personal time you have accrued. The Requests section displays requests for future time off.

On this screen, you can:

  • Add a new time off request by tapping the floating add button (  ).
  • Open the detail screens of individual requests. 
    • On the details screen, you can view, edit, and delete the time off requests.
  • Cancel pending requests. 

 



My Shift Requests

The following shift requests are available:

  • Drop requests—Request to no longer be responsible for a scheduled shift. This action sends a request to the manager for approval or denial.
  • Give away requests—Request to transfer a shift to another employee who also has that job. The employee will need to approve or deny. Once the receiving employee has approved or denied, the request is sent to the manager for approval or denial.
  • Swap requests—Request to replace one of your shifts with that of another employee. The employee will need to approve or deny. Once the receiving employee has approved or denied, the request is sent to the manager for approval or denial.
  • Pickup request—Request to fill an open shift. This request is sent to the manager for approval or denial.

Add a new shift request by tapping the floating add button (  ).

 




My Current Call-ins

The two types of call-ins are tardy and absent.

On the My Call Ins screen, you can:

  • View any Attendance Points that have accumulated.
  • See a list of current call-ins.
  • Submit a new call-in to a manager.

To add a new call-in,

  1. Tap the green Add Call-In button (  ).
  2. From the dialog box, select either Call in Tardy or Call in Absent.
    To return to the My Current Call-ins screen without adding a Call-in, press Cancel.

Weekly Availability

On the Weekly Availability screen, you can:

  • View current availability and pending availability.
  • Add availability, which will be reflected in the Employee Maintenance component of

    RMS

    .
  • Edit current availability and submit for manager approval.
  • Cancel pending availability.

My schedule

  

Use the Scheduling screen to view both your schedule and those of your peers. Features include:

  • My Schedule—This screen displays a list of currently published shifts. You see your next shift at the top of the screen. From this screen, you can request to drop a shift.
  • Peer Schedules—This screen displays a grid view of your schedule, as well as the names of team members who have the selected job.

    Note: Peers who have shifts in other jobs appear as gray if it is a shift that is not for the selected job.

    On this screen, you can:

    • Change the job selection based on the jobs to which you have access.
    • Select to give away or swap a shift with another team member.
    • Request to drop a shift.
  • Open shifts—This screen displays a grid view of team members' schedules, as well as any open shifts that are available for the selected job. On this screen, you can:
    • Change job selection based on jobs to which you have access.
    • Request pickup of an open shift by selecting it.
    • Request to drop a shift.




Time Clock

 

On the Time Clock screen, you can:

  • Clock In, Break, Back, or Out.

    Note: If currently clocked out, your next shift is shown at the top of the screen. If currently working a shift, your next logical punch, along with current shift information, is shown at the top of the screen.

  • View or change the Time Clock that you are clocking in to.
  • Enter tips.
  • Change jobs.


Time Card

On the Time Card screen, you can:

  • See shifts worked, hours worked, hours paid, missing punches, manager edits, and earnings.
  • Send messages to managers regarding a missed punch.
  • Approve or deny a manager edit.

    Note: Edits in closed pay periods cannot be approved or denied.

  • Select the shift to view more details.
  • Change the pay period to view.
  • Punch (  ) in for shifts. 

Note: Active features on this screen depend on your properties' configuration.



Messages

On the Messages screen, you view and manage messages from managers and peers. The default view of the screen is the Inbox.

On this screen, you can:

  • See a list of your sent and deleted messages.
  • Mark individual messages as read/unread by swiping a message.
  • Mark multiple messages as read/unread by tapping the Edit button and selecting messages.
  • Compose new messages by tapping the floating compose button (  ).




Revenue Center Forecasting

The Revenue Center Forecasting screen displays forecast data for an organization's revenue centers. On the Revenue Center Forecasting screen, you can do the following:

  • Select a planning period (  ).
  • Choose a different revenue center (  ).
  • View the legend (  ) for the different variance icons.
  • Scroll horizontally to select different days for which to view KBIs, forecasts and statistics.
  • Expand KBI details view (  ).
  • Apply, change, or remove forecast environments.
  • Add a Manager Forecast to override the System Forecast.


Preferences

The Preferences screen features controls for you to update your notifications and user profile.

In the Notifications settings, you can set the following:

  • Email—Forward schedules and messages to your email address.
  • Notification—Display schedules and messages as push notifications that appear on the lock screen of your mobile device.
  • SMS Message—Forward schedules and messages to text messages.

In Profile settings, you can change your password, email, and home and mobile phone numbers.

  • All team members should set preferences first to ensure that they are able to view and receive needed messages and information.
