Employee Alerts
The Employee Alerts rules allow managers to determine what type of alerts they wish to have sent to their mobile device. For example, a manager may want to be notified when an employee has an approaching Break, but may not want to be alerted to employees who are coming in soon.
The Employee Alerts work rule type includes the following work rules:
- Approaching Break Period Alert
- Coming In Soon Alert
- Late In Alert
- Late Out Alert
- Approaching Daily Overtime Alert
- Clocked in Unscheduled Alert
- Pre-shift Screening
Approaching Break Period Alert
Description | Creates an alert when an employee is approaching the required time to take a break. This rule allows for up to two break periods during extended shifts. | |
Parameters | Parameter | Description |
Alert Display Threshold | The amount of time prior to the employee's break that the manager receives the alert. For example, if you would like to receive an alert 15 minutes prior to the employee's break, enter 0.25 in the Alert Display Threshold field. | |
First Break Limit | Number of hours the employee can work before the first break must be taken. | |
First Minimum Shift Length | Minimum number of hours the employee may work before a break is required. | |
Maximum Time Between Breaks | Maximum number of hours that can pass between the first and second breaks. | |
Second Break Limit | Number of hours the employee can work before the second break must be taken. | |
Second Minimum Shift Length | Minimum number of hours the employee may work before a second break is required. | |
Use Actual Punch Time | If the check box is selected, the system will use the actual time that the employee punched in to calculate the break start time. If the check box is clear, the system will use the rounded punch time. |
Coming In Soon Alert
Description | Creates an alert to let the manager know when it is almost time for an employee to punch in. | |
Parameters | Parameter | Description |
Alert Display Threshold | The amount of time prior to the start of the employee's shift that the manager receives the alert. For example, if you would like to receive an alert 45 minutes, prior to the start of the employee's shift, enter 0.75 in the Alert Display Threshold field. |
Late In Alert
Description | Alerts the user when an employee is late punching in for a scheduled shift. | |
Parameters | Parameter | Description |
Alert Removal Threshold | The amount of time that the alert will continue to display after the scheduled shift start time. After this set amount of time, the alert will no longer appear. For example, if you would like the alert to remain on screen for 30 minutes after the scheduled shift start time, enter 0.5 in the Alert Display Threshold field. | |
Late In Limit | The amount of time, from the scheduled shift start time, that will pass before the alert is displayed. For example, you may not wish to have the alert sent to your device until 15 minutes after the scheduled shift starts. If you set the Late In Limit to 0.25, you will be alerted 15 minutes after they should have punched in. |
Late Out Alert
Description | Alerts the user when an employee is late punching out from a scheduled shift. | |
Parameters | Parameter | Description |
Alert Removal Threshold | The length of time, from the scheduled shift end time, that the alert will continue to display. After the chosen amount of time, the alert will be removed. For example, if you want the alert to be removed from your device 60 minutes after the scheduled shift ends, enter 1. | |
Early In Limit | The length of time, prior to the scheduled shift start time, during which a punch would be considered part of the scheduled shift. For example, if the Early In Limit is set to 0.25 hours, an employee whose is scheduled at 08:00 but clocks in at 07:44 would not be considered as part of a scheduled shift. If they punch in at 07:46 the punch would be considered part of a scheduled shift. | |
Late Out Limit | The amount of time, after the scheduled shift end time, that will pass before the alert is displayed. For example, if the Late Out Limit is set to 0.25 hours, the alert appears 15 minutes after the scheduled shift ends. |
Approaching Daily Overtime Alert
Description | Alerts the user when an employee is approaching, or has entered, daily overtime. | |
Parameters | Parameter | Description |
Alert Display Threshold | The amount of time prior to the employee entering overtime that the manager receives an alert. For example, enter 0.5 in this field if you would like to receive an alert 30 minutes prior to an employee entering overtime. | |
Alert Removal Threshold | How long after the employee enters overtime that the alert will continue to display. After the chosen amount of time, the alert will be removed. For example, if the Alert Removal Threshold is set to 1, the alert will be removed from your device 60 minutes after the overtime has begun. | |
Max Shift Length | Maximum length of a normal shift. If an employee works more hours than the configured Max Shift Length, the employee will enter daily overtime. |
Clocked in Unscheduled Alert
Description | Alerts the user when an employee clocks in for an unscheduled shift. | |
Parameters | Parameter | Description |
Alert Removal Threshold | How long after the employee clocks in that the alert will continue to display. After the chosen amount of time, the alert will be removed. For example, if the Alert Removal Threshold is set to 1, the alert will be removed from your device 60 minutes after the employee punches in. | |
Early In Limit | The length of time, prior to the scheduled shift start time, during which a punch would be considered part of the scheduled shift. For example, if the Early In Limit is set to 0.25 and an employee who is scheduled at 08:00 clocks in at 07:44, the employee's punch would not be considered as part of the scheduled shift. If the employee punches in at 07:46, the punch would be considered part of the scheduled shift. | |
Late Out Limit | The length of time, after a scheduled OUT time, during which a punch IN would be considered part of a scheduled shift. For example, if an employee works a split shift, the Late Out Limit determines the length of time after they punch out of Job 1 that they can punch in to Job 2. |
Pre-shift Screening
Description | Notifies the employee and manager when the employee fails to pass a pre-shift screening survey within a specified time frame prior to the shift start time. | |
Parameters | Parameter | Description |
Employee 1st Notification Threshold | Number of hours before the employee’s shift when they sent the first notification that their pre-shift screening has not been completed. | |
Employee 2nd Notification Threshold | Number of hours before the employee’s shift when they sent the second notification that their pre-shift screening has not been completed. | |
Manager Notification Threshold | Number of hours before the employee’s shift when the manager is notified the employee has not completed the pre-shift screening. | |
Send Manager Notification | If selected, the manager receives a notification that the employee has not completed the survey at the configured number of hours prior to the shift start time. |
