Shift Differential

Shift Differential work rules allow you to add "extra" pay for hours worked between an established Start Time and End Time. Earnings are fixed dollar amounts paid for time worked during the time range.

The Shift Differential work rule type includes the following work rules:

Day of Week with Holiday

Description

Creates an earning for all hours worked on the selected day of the week. If the day of the week is a holiday, then an earning for all hours worked during the holiday is applied, rather than the day of the week.

This is paid as Shift Hours x Rate x Factor.

Time of Day Percentage

Description

Add earnings for hours worked between a given start time and end time.

The Earning is determined by (Job Rate X Pct of Job Rate/100) + Differential Rate.

Max Pct Hrs Between

Min Hrs Between

Minimum length of time that must be worked for the differential to be paid.

Min Pct Hrs BetweenShift must contain the minimum pct of shift hours between the start and end times of the differential to be calculated.

In Online Help: Denotes the minimum percentage of shift hours that must be worked, for the differential to be paid.

Minimum percentage of shift hours that must be worked for the differential to be paid.

Pay Net Shift Hrs

If selected, the differential is paid for the total net hours for the shift.

If not selected, the differential is only paid on the hours between the start and end of the established Start and End times.

Pct of Job Rate

Percentage of the Job Rate at which the differential hours are paid.

Round Time To

Round time to the nearest x minutes.

Rounding Options

Select the method to use for rounding punches. Options include:

  • Nearest - The punch is rounded to the nearest designated minute.
  • Up - The punch is rounded up to the next minute.
  • Down - The punch is rounded down to the previous minute.
  • None - The punch is not rounded.
Start Time

Time of day the earning starts accruing.

Use Actual Punch Time

If selected, the system will use the employee's actual punch time, rather than rounding.


Hours Threshold Fixed Earnings

Description

Creates a fixed dollar Earning for any shift over the specified minimum hours. 

Example(s)If an employee works at least six hours, they automatically get an extra $5.00 as a meal credit.

Split Shift Differential Rate

Description
Creates an earning for an employee whose daily working time is split into two working periods. The earning is an hourly rate paid for the number of hours between shifts, if they fall between the minimum and maximum hours.

The default Minimum Time Between Shifts is 1 hour and the default Max Time Between Shifts is 3 hours. You can change these values.

You can also specify the type of Earning and set a Differential Rate that affects how the hours between shift hours are paid.

Example(s)If an employee works a regular shift and is asked to work another shift that starts two hours after the end time of the first shift, the employee would get paid for the two hours wait time.

Differential Rate

Rate at which differential hours are paid.

Earning

Earning Type to which the dollar amount is assigned.

First Shift Max

Hours threshold for the first shift. If the first shift exceeds this threshold, employees are not eligible for a split shift.

Max Time Between Shifts

Maximum length of time between shifts for which the differential is paid.

For example, if your maximum time is 2 hours, and there actually is 3 hours between shifts, the differential would only be paid on the 2 hours.

Maximum Hours Paid

Maximum number of hours employees can be paid for the premium earning.

Min Time Between Shifts

Minimum length of time between shifts for which the differential is paid.

For example, if Min Time Between Shifts is set to 1 hour, and 45 minutes passes between shifts, the differential is not paid.

Minimum Hours Paid

Minimum number of hours an employee will be paid for the earning.

Second Shift Max

Hours threshold for the second shift. If the second shift exceeds this threshold, employees are not eligible for a split shift.

Split Shift Pay Types

Specify which portion(s) of a split shift are paid premiums, by selecting any combination the following options:

  • Pay Time Between Shifts
  • Pay First Shift Hours
  • Pay Second Shift Hours

If selected, the system will use the employee's actual punch time, rather than rounding.


Break Period Penalty

Description

Creates an hour-based penalty Earning if a break is not taken during the specified hours worked.

Example(s)The Plus One rule states that an employee who works more than 5 hours must take at least a 30 minute break or the employer is required to pay the employee an additional hour at the employee's regular rate of pay.

Break Period Penalty Hours

Description

Apply a penalty earning for total break time if a break does not meet the minimum length requirement.

Tips
  • This rule is usually used in conjunction with the Break Period Penalty rule detailed above. 
  • If your property is located in the State of California, you will still need to configure that rule. 
  • This rule is an add-on to the initial rule which allows for additional functionality required by some Unions and other employment contracts to pay an employee for a short break as well as assessing the one hour penalty.
  • This rule will account for any additional (second or third) breaks that may be required by law.

Day of Week Flat Rate Earning

Description

Creates a flat rate Earning for all hours worked on the specified day of the week.

The calculation is Rate Shift Hours.

Description

Creates an Earning for all hours worked on the specified day of the week based on Shift Hours Home Job Rate x Factor.

Shift Start Time Flat Rate

Description

Adds an earning for shift hours, if the start of the shift is between the given Start time and End time.

The earning calculation is Rate X Shift Hours.

Weekly Job Hours Fixed Earning

Description

Creates a fixed dollar earning for a job where weekly hours fall between the minimum and maximum hours. The earning is paid on the week ending date.

Paid Break Fixed Hours

Description

Apply a fixed hour earning to a shift that is over the minimum shift length and contains a punch break over the minimum break length.

Description

Creates an Earning for all hours worked on a Holiday.

The rate is paid as Shift Hours Rate Factor.

If selected, the Home Job Rate is used for the Earning Base Rate.


Holiday Time of Day

Description

Creates an earning for all hours worked between specified start and end times on the holiday.

These hours are paid as Shift Hours X Rate X Factor.

Include Other Shift Earnings

If selected, Earnings created by any other rules will be added into the premium rate as long as the priority of the other rules is higher priority: Earning Total Dollars / Shift Net Hours.

For example, if another Shift Differential rule has a priority of 4, any Earnings created by that rule will be included in this rule.

Priority

Priority order in which the rule is run. The rule with the lowest priority number executes first.

All rules default to a priority value of 5.

Start Time

Time the Earning starts accruing.

Use Actual Punch Time

If selected, the system will use the employee's actual punch time, rather than rounding.

Use Home Job for Base Rate

If selected, the Home Job Rate is used for the Earning Base Rate.

Contract Guarantee Rule

Description

Pays employees the guaranteed contract wage for secondary department shifts when working less than the contract in home department. Employees can work additional hours at a job rate but cannot be paid less that their own rate of pay until all of their monthly contracted hours have been fulfilled.

Hours Threshold Fixed Earning with Max Cap

Description

Creates a fixed dollar earning for any shift over the specified minimum hours, up to the maximum number of occurrences.

For example, Meal Credits.

Maximum Weekly Occurrences

Maximum number of shifts on which the earning can be paid in a week. Note that this is not the number of days, but the number of shifts.

Daily Spread Shift Differential

Description

Creates a fixed hour earning for the last job worked, if the spread of hours from the first punch of the day to the last punch of the day, is over the minimum.

Minimum Hours Worked Shift Differential

Description

Creates an earning that meets the minimum daily hours requirement but does not count toward OT and is paid as earnings, not worked hours.

Note: When employees work consecutive shifts at different positions, this rule creates the earning in the last job worked.

Anniversary Worked Differential

Description

Apply an earning to an employee on a configured anniversary date. Available anniversary types include: hire date, birthday, and seniority date. If employees work on their configured anniversary date, they receive an earning based on the following calculation: (factor x shift job rate) x hours worked.
