Working with the Schedule Approvals screen

This section provides instructions for the following tasks on the Schedule Approvals screen:

Controlling the Schedule Approvals screen view

Selecting the planning period

Note: By default, the Schedule Approval screen opens to the current planning period.

To select the planning period to which to manage schedules, do the following:

  • Click the Planning Period field and select the planning period from the drop-down list.
    The screen updates with information for the selected planning period.

Filtering by property

To select the types of properties to see, do the following:

  • Click the Filter field and select one of the following options from the drop-down list:
    • All Properties—Displays all available properties in the table.
    • Schedules w/ Potential Issues—Displays only properties that have schedules with potential issues.
    • Completed Schedules—Displays only schedules that have been completed.

Viewing details for a job

  1. In the table, expand the Property tree menu until you drill down in the labor structure to the job level.
  2. When you click on the job-level within the tree menu, the Details pane for the job opens.
    The Details pane contains additional information about the job.
  3. To close the Details pane, click the arrow (  ).

Managing schedules

Changing schedule states

Changing schedule states restricts or allows schedule editing for all or selected labor structure levels during the selected planning period. 

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. If you are changing the schedule state for specific schedules, in the Select column, select the check box(es) for the schedule(s).
  3. Click Change Schedule State.
  4. From the drop-down list, select one of the following options:
    • Make Selected Closed for Editing—Restrict schedule editing only for selected jobs.
    • Make All Closed for Editing—Restrict schedule editing for all jobs.
    • Make Open for Editing:
      • Make Selected Closed for Editing—Restrict schedule editing only for selected jobs.
      • Make All Closed for Editing—Restrict schedule editing for all jobs.
      • Make Selected Open for Home Jobs—Allow schedule editing only for selected home jobs.
      • Make All Open for Home Jobs—Allow schedule editing for all home jobs.

These changes affect only the selected planning period.

Marking selected schedules as complete

Marking schedules as complete signals that they are ready to be approved. You see the Mark as Complete button if you have access to the Scheduling screens and have Labor Structure permissions to jobs requiring approval.

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. Select the Mark Complete check boxes for the labor structure levels to mark as complete.
    If you select an level that has sub-levels, all sub-levels are selected as well.
  3. Click Mark as Complete.
  4. From the drop-down list select Mark Selected Schedules as Complete.

Approving and unapproving schedules

After schedules are marked as complete, they are ready for approval. After a schedule is approved, it is ready for publication. If you have Labor Structure permissions to approve schedules, you will see the Approve and UnApprove buttons.

Approving schedules

To approve selected schedules:

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. In the Select column, select the check box(es) for the schedule(s) to approve.
  3. Click Approve.
  4. From the drop-down list, select Approve Selected.
    The schedule(s) is approved. A green check mark (  ) appears in the Approval Status column.

To approve all schedules:

  1. Click Approve.
  2. From the drop-down list, select Approve All.
    The schedules are approved. For each schedule, a green check mark (  ) appears in the Approval Status column.

To approve all schedules with no issues:

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. From the drop-down list, select Approve All W/ No Issues.
    The schedules are approved. For each schedule, a green check mark (  ) appears in the Approval Status column.

Unapproving schedules

Unapproving schedules undoes the approval status. You might need to unapprove a schedule if it was accidentally approved.

To unapprove selected schedules:

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. In the Select column, select the check box(es) for the schedule(s) to unapprove.
  3. Click Approve.
  4. From the drop-down list, select UnApprove Selected.
    The schedule(s) is unapproved.

To unapprove all schedules:

  1. Click UnApprove.
  2. From the drop-down list, select UnApprove All.
    The schedules are unapproved. 

To unapprove all schedules with no issues:

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. From the drop-down list, select UnApprove All W/ No Issues.
    The schedules are unapproved. 

Publishing schedules

After schedules are approved, they are ready to be published. Employees can view published schedules in the UniFocus Mobile App. If you have publish permissions, you will see the Publish button.

To publish selected schedules:

  1. In the table, expand the Property tree menu to see levels of the labor structure.
  2. In the Select column, select the check box(es) for the schedule(s) to publish.
  3. Click Publish.
  4. From the drop-down list, select Publish Selected.
    The schedule(s) is published. A blue arrow (  ) appears in the Publish Status column.

To publish all schedules:

  1. Click Publish.
  2. From the drop-down list, select Publish All.
    The schedules are published. For each schedule, a blue arrow (  ) appears in the Publish Status column.
