Responding to a Shift Request

Managers can rearrange employees schedules based on when they are scheduled for a shift. Once a request is responded to, the schedule for the employee is immediately updated.

To respond to a shift request:

  1. Access the Time Off Request screen by doing one of the following:
    1. In the toolbar, click the Main Menu icon ( ).
    2. From the drop-down list under the Time and Attendance section, select Employee Requests.
      The Employee Requests screen appears in a separate tab.
      Or
    1. On the home screen, click Daily Operations.
    2. Click the Employee Request icon ( ).
      The Employee Requests screen appears in a separate tab.
  2. From the Requests Type drop down list, select Shift Requests.
    The Shift Requests screen appears.
  3. Respond to an request by doing one of the following:
    1. Click an employee name.
    2. Click Edit Request.
      A dialog box appears. The name of the dialog box depends on the type of shift request that you are responding to.
      Or
    • Double click an employee name.
      A dialog box appears. The name of the dialog box depends on the type of shift request that you are responding to.
  4. Complete the fields as necessary.
    The fields in the dialog box depend on the type of shift request that you are responding to. For more information, see Edit Shift Request dialog box.
  5. Click OK.
    The dialog box closes and the schedule for the employee is immediately updated.

This table describes the fields for the Edit Shift Request dialog boxes. The name of the dialog box and the fields that you see depend on which type of shift request you are responding to.

Assignment

If applicable, displays the assignment.

If applicable, displays the current number of hours that an employee has scheduled.

Schedule after DropIf applicable, displays the number of hours that an employee has scheduled after they drop a shift.

After AssumptionIf applicable, displays the number of hours that an employee is scheduled for after picking up a shift or swapping a shift.

Request Status Section
Status

Select the status to one of the following:

    • Pending
    • Approved
    • Denied
 
Send Email notification to employeeSends an email to the employee. 
Email SentStates if the email was sent to the employee.

Read-only.

Changed byName of the manager that changed the request.

Read-only.

Changed onDate in which the request was changed on.

Email Sent OnDate in which the email notification was sent.

Read-only.

CommentsMake comments to the employee.

Buttons
OK

If approved, schedules shift to employee.

If pending or denied, then the employee is not scheduled for the shift.
