Tip Pools

With the Tip pooling screen, you can allocate earnings from tips to employees. To accomplish this, you must first create templates called Tip Pool Types in System Setup > Time & Attendance. From the main menu, you select Tip Pools and create Tip Pools and Sub-Pools using those templates.

Displays the list of available tip pools. Tip Pools are configured in System Setup.

This pane also contains the following buttons:

  • Add —Opens the Create Tip Pool dialog box so that you can add a tip pool.

    —Deletes the selected tip pool.
3Sub-Pools pane

Displays a list of available sub-pools that are associated with the tip pool selected in the Tip Pools pane. Sub-pools are configured in System Setup.

4Details pane

Displays information for either the selected tip pool or sub-pool. For more information on the fields in the pane, see the following:

Date Range Type
                                     

Period of time over which the units are summed: by the day, an entire week, or an entire pay period, which you determined when you created the tip pool type associated with this tip pool.

Total Tips

Total amount of tips to be allocated via the tip pool.

Read-only.

In-House %

Exclude a certain percentage of the tips from being distributed to the employees. This is helpful if the house keeps a certain amount of the tips.

Earnings Created by

Name of the user who generated the process.

Read-only.

Earnings Created onDate on which the earnings were created.

Buttons

Re-Calculate Tip Pool

Opens the Re-Calculate Tip Pool dialog box so that you can manually re-calculate the time and attendance data for the pay period.

 

Create Earnings

Creates an earning record for all employees who are to receive tip pool pay.

You cannot make any Hour, Factor, or Unit Adjustments after you have created the earnings.
Delete EarningsDeletes the earnings.

Distribution ModeMethod used for distributing Total Tips (Fixed and Variable). The distribution method was determined by the tip pool type (template) used to create the tip pool.

Type of earnings with which this tip pool is associated.

Sub-Pool Hours

Total number of hours allocated to the sub-pool.

% Pool

Displays the percentage of the tips that are to be allocated to a specific sub-pool. If you have multiple sub-pools, the %Pool for all Sub-Pools must equal 100%.

Employee SetSelect the group of employees for which the Tip Pool Type is to be applied. 

Distribute to Worked Jobs

Whether the Pool should be paid to the Home job (not selected) or distributed between the jobs that contributed towards the Pool (selected).

Baseline Hours/Covers/ Revenue/Points

(Variable Distribution only) Number of hours that were designated as the minimum number of hours/covers/revenue or points for which an employee will be paid.

Hours Mode

Indicates what type of hours are used in the calculation:

  • OT Adjusted—Indicates that the calculation would include overtime hours.
  • Regular—Indicates that the calculation would only use regular hours. Overtime hours would be excluded.
  • Total Worked—Indicates that the calculation would only use actual hours worked.

TableThe table displays the group of employees for which the tip pool is applied.

Employee Name

Name of the employees for whom the tip pool is applied.

Read-only.

Worked Hours

Total number of hours actually worked by each employee for the specified date range.

Baseline Hours/Covers/ Revenue/Points

(Variable only) Minimum total number of units that each employee will be paid for the specified date range. If an employee has worked more units than the base amount, the total units worked will be listed. For example, if the Baseline number of units is 10 and the employee worked 15, the amount in this column will be 15. If the employee worked only worked for 7 units, the amount in this column will be 10.

Factor

(Variable only) Manipulate how the tips are allocated. For example, the default factor is 1. You can award a larger share of the allocation by increasing the factor. Likewise, you can give an employee less than a normal share of the allocation by decreasing the factor. For example, employees with a factor of 1.5 will get an extra one-half of a percentage point of the total tips. Clicking on the Edit icon opens a new dialog box where you can add/change the Factor.

Net Hours/Covers/ Revenue/Points

(Variable only) Displays the results of the calculation of Hours × Factor.

Read-only.

% Sub-Pool

Displays the percentage of the Hours allocated for each employee in the sub-pool.

Read-only.

Gross Allocated Tips

Displays the amount of total tips that will be allocated to each employee.

Read-only.

Tips Adj.         

Add or subtract a specific amount to the Gross Allocated Tips. Clicking on the Edit icon opens a new dialog box where you can add/change the adjustment.

Net Allocated Tips

Displays the sum of Gross Allocated Tips and Adjustments.

Read-only.

Earning

Amount that the employee receives. This column only displays amounts if the earnings have been created. If earnings have not been created, the column will display all zeros.

If the Net Allocated Tips is a negative number or the Earnings and Net Allocated Tips do not match, the row is highlighted in red, indicating a problem that should be corrected.

Fields on the Sub-Pool Table (Guaranteed Wage Distribution)

FieldDescription

Worked Hours

Displays the total number of hours actually worked by each employee for the specified Date Range.

Guaranteed Wages

Distribute tips by first meeting a guaranteed amount and then distributing any remaining tip monies.

Base Pay

Displays the hours worked multiplied by minimum wage.

GW Tip

Depending on whether total tips are enough to cover guaranteed wages, this number is calculated different ways.

Supplemental

If there aren't enough tips to cover the guaranteed wages, the amount contributed by the company to make up the difference.

Over Tip

If there are more tips than what is needed for guaranteed wages, the amount of the remaining tips distributed to each employee.

Creating Tip Pools & Sub-Pools

  1. In the toolbar, click the Main Menu icon (  ).
  2. From the drop-down list, under the Time & Attendance section, select Tip Pools.
    The Tip Pools screen appears.
  3. Change the Period if applicable.
  4. Click the Add icon ( 

    ).

    The Create Tip Pool dialog box appears.
  5. Enter a Name for the tip pool.
  6. From the drop-down list, select the appropriate Tip Pool Type.
  7. From the drop-down list, select a different Week Ending Date/Pay Period End Date if appropriate.
  8. Enter the amount of the Total Tips to be dispersed.
  9. Click OK.
    The dialog box closes and the Sub-Pools associated with the Tip Pool Type you selected are displayed in the Sub-Pools column.
  10. Click on the name of a Sub-Pool and view the information in the Details panel.
  11. Verify that the information is correct, then click on the name of the Tip-Pool in the first column.
  12. Click Re-Calculate Tip Pool if you have made any changes. If no changes have been made, click Create Earnings.

    Caution: You will not be able to make any adjustments once the earnings have been created.
