Property Configuration Report

The Property Configuration Report provides an overview of the general information for the location. The report provides such information as the number of guest rooms, employee ID length (how many digits are used for the employee ID), the desired variance percentage (for forecasting), etc. Environments, seasons and unit abbreviations are also noted in this report.

  • The Property Configuration report has several options that determine what information is included in the report and how the information is presented. The general property information will appear as the first page of every report regardless of the options selected. Each option will then appear on a separate page.

Units

Displays the configuration information for all units. For example, when setting standards for a housekeeper, you may need to know how many rooms you have because you need to calculate how many minutes it takes to clean a room (minutes per unit), the room being the unit. Another example would pertain those organizations with unions that require a standard of how many rooms are needed to be done in an entire shift (units per shift).

Pay Periods

Displays the pay period structure (bi-weekly, monthly, etc.) and pay dates.

Events

Displays all events. Events represent identifiers for special circumstances that let's you segregate historical data in the forecasting process. An example of an event would be a hurricane, which would decrease the hotel's occupancy for a short period of time. Events are usually one-time occurrences or anomalies.

Environments

Environments are identifiers for special circumstances that let you segregate historical data in the forecasting process. Normally an environment affects one or more areas within the property, but not necessarily the entire entity. An example of an environment would be a local volleyball tournament that is held three times a year in the pool area. This would bring in revenue and affect labor for that area, but not necessarily for the entire property. Environments are recurring and longer in duration than Events.

Seasons

Displays all seasons, which are periods of time that represent different business periods at your property. Seasons let you segregate historical data, so the business pattern/characteristics of one season do not influence another.

Rotation Plans

Displays all rotation plans which show how often and when, employees will be scheduled for a specific workstation/area within a department.

Day Off Plans

Displays the set-up/pattern of day off plans. This is useful for those departments that wish to create a schedule with rotating days off.

Running the Report

To run the report:

  1. Choose Configuration from the Reports menu.
  2. Click Property. The report options screen appears.
  3. Select the appropriate View.
  4. Select the any or all of the options you wish to display in the report (Units, Pay Periods, Events, Environments, Seasons, Rotation Plans, Day Off Plans).
  5. Click the Run icon. The report is displayed.
