Overview
RMS
version 9.06.02 includes improvements and new features that address hours calculation and distribution.Hours calculation and distribution for 168-hour workweeks (13051)
The RMS software can now be configured to calculate and distribute hours that span two 168-hour workweeks. To better calculate these hours and display them to users, RMS has introduced spanned shifts. A spanned shift is a single shift that spans two workweeks. For example, a workweek might run from 00:00 hours (12 A.M.) on Sunday to 23:59 hours (11:59 P.M.) on Saturday. If an employee works 9 hours a day from Monday through Thursday (36 hours in total) and then works on Saturday from 22:00 hours (10:00 P.M.) to 07:00 hours (7:00 A.M.) on Sunday morning (9 hours in total), the employee would not be paid overtime because the current week cuts off at midnight on Saturday. The employee would have worked 38 hours for the current week and 7 for the next week. In this example, the employee has a spanned shift from Saturday at 22:00 hours (10:00 P.M.) to 07:00 hours (7:00 A.M.) on Sunday morning.

This release includes the following improvements to work rules, RMS screens, and reports.
New work rule
Regular Hours Distribution work rule (13136, 13191)
The new Regular Hours Distribution work rule (System Setup > Work Rules > Regular Hours Distribution) enables users to configure rules to distribute net hours for a shift into regular hours distributions. To more efficiently calculate and distribute spanned hours across workweeks, this work rule includes the following rule items:
- Regular Hours On Shift Date – Only regular hours are distributed. No overtime (OT) is included.
- Regular Hours Split By Work Week – Regular hours are distributed based on the week that an employee worked.
- Regular Hours Split By Day – Regular hours are distributed based on the day that an employee worked.
Changes to work rules
Removing unused work rules (13102)
The following work rule items have been removed from RMS:
- Anniversary First Occurrence Full/Half
- Contract Period Accrual
- Prior Year Expiration on Variable Date
- Salaried Daily Earning Rate
- Daily/Period Contract OT
- Monthly Banked Hours
- Schedule Lunch Adjust For Manual Adjustments
- Shift Definition Schedule Validation
- Annual Days Worked
Modification to the FLSA OT Rate work rule (13111)
In the FLSA OT Rate work rule (System Setup > Work Rules > Overtime Rate Work Rules > OT Rates), the Regular Hours check box has been removed from the Details pane. This modification improves calculations of overtime hours.
Spanned shifts in scheduling screens
Spanned shifts in the Scheduling screen (13265)
A Span column has been added to the Employee view of the Scheduling screen (Main Menu > Labor > Scheduling). This column displays the regular and premium hours spanned from the previous planning period and distributed to the current planning period.
Spanned shifts in the Timeline Scheduling screen (13299)
In the Employee and Job views of the Timeline Scheduling screen (Main Menu > Labor > Timeline Scheduling), users can view, but not edit, shifts from the previous planning period that span into the selected period.
Hours distribution changes to employee time cards (13293, 13261, 13262)
The employee time card screen (Main Menu > Time & Attendance > Review Pay Period > Review Time Card) now displays the previous pay period’s end date when hours span into the current pay period. Previous shifts now appear as gray rows.
Changes to tabs in time card include the following:
- The Schedules Worked tab now displays spanned hours from previous periods as faded columns.
- In the Job Summary tab, users can now view more details about a job that the selected employee worked. If users either double-click a summary item row or click the new Show Details button, a Pay Details dialog box appears. This dialog box displays all shifts that have been included in the summary item. It provides details about the total worked hours and costs for the selected period being viewed. This information can be viewed chronologically, by distribution, or by earning type.
Hours distribution in reports (RMS and Cognos) and dashboard
In this release, a new RMS report has been added and several RMS reports have been updated to more efficiently distribute and display hours from shifts that span pay periods.
Weekly Schedule 168 Hours report (13249)
The new Weekly Schedule 168 Hours report (Reports > Scheduling > All Scheduling > Weekly Schedule 168 Hours) report has been added so that users can generate a weekly schedule report that distributes and displays hours from a shift that spans from the last day of a pay period into the first day of the next pay period. This report includes the following features:
- The Total Hours column displays an icon (†) to indicate that there are spanned shifts. Users also see a message indicating that shifts shown in gray contain hours that have been spread to another pay period.
- Days with shifts that spread to other pay periods are highlighted in gray.
- The last day of the previous week is shown in gray on the schedule. Hours for this day are not calculated in the totals for the report.
Overtime Management report (13196)
The Overtime Management Report (Reports > Time & Attendance > Wage Analysis > Overtime Management) now uses the sum of premium hours for the overtime (OT) and Projected OT hours calculations.
Paycheck Approvals report (13236)
The Paycheck Approvals report (Reports > Time & Attendance > End of Pay Period > Paycheck Approvals) has been updated to distribute and display hours from a shift that spans from the last day of a pay period into the first day of the next pay period. For example, if an employee works a shift from 5 P.M. on the last day of the previous pay period to 1 A.M. on the first day of the current pay period, the Paycheck Approvals report displays 1 regular hour from the spanned shift in the current pay period.
Weekly Actual to Scheduled report (13237)
The Weekly Actual to Schedule Analysis report (Reports > Time & Attendance > Wage Analysis > Weekly Actual to Schedule Analysis) has been updated to distribute and display hours from a shift that spans from the last day of a pay period into the first day of the next pay period. For example, if an employee works a shift from 6 P.M. on the last day of the previous pay period to 2 A.M. on the first day of the current pay period, the Paycheck Approvals report displays 2 scheduled hours from the spanned shift in the current pay period.
Earnings Details report (13247)
The Earnings Details report (Reports > Time & Attendance > Earning Reports > Earnings Details) has been updated to distribute and display hours from a shift that spans from the last day of a pay period into the first day of the next pay period. Changes to this report include the following:
- If a shift spans from the last day of the previous pay period into the first day of the next pay period, the last day of the previous pay period appears as a gray row in the current pay period's report.
- If a shift spans from the last day of the current pay period into the first day of the upcoming pay period, the last day of the current pay period appears as a gray row in the current pay period's report.
If a report includes spanned shifts, users see a message indicating that shifts shown in gray contain hours that have been spread to another pay period.
Shift Details report (13248)
The Shift Details report (Reports > Time & Attendance > Earning Reports > Shift Details) has been updated to distribute and display hours from a shift that spans from the last day of a pay period into the first day of the next pay period. Changes to this report include the following:
- If a shift spans from the last day of the previous pay period into the first day of the next pay period, the last day of the previous pay period appears as a gray row in the current pay period's report.
- If a shift spans from the last day of the current pay period into the first day of the upcoming pay period, the last day of the current pay period appears as a gray row in the current pay period's report.
If a report includes spanned shifts, users see a message indicating that shifts shown in gray contain hours that have been spread to another pay period.
Updated calculation methods in Time & Attendance reports (13238, 13239, 13250, 13251, 13235)
The following Time & Attendance reports have been updated to calculate distributed hours from spanned shifts:
- FLSA Minimum Wage (Reports > Time & Attendance > Wage Analysis > FLSA Minimum Wage)
- Minimum Wage (Reports > Time & Attendance > Wage Analysis > Minimum Wage)
- Overtime Management (Reports > Time & Attendance > Wage Analysis > Overtime Management)
- Hours and Earnings Recap (Reports > Time & Attendance > Earnings > Hours and Earnings Recap)
- Tip Pool (Reports > Time & Attendance > Tip Pools > Tip Pool)
Cognos Earnings Details report (13289)
The Cognos Earnings Detail report has been updated to distribute and display hours from a shift that spans from the last day of a pay period into the first day of the next pay period. Changes to this report include the following:
- The last day of the previous week is shown in gray on the schedule. Hours for this day are not calculated in the totals for the report.
- If a report includes spanned shifts, users see a message indicating that shifts shown in gray contain hours that have been spread to another pay period.
Cognos Shift Details report (13290)
The Cognos Shift Details report has been updated to distribute and display hours from a shift that spans from the last day of a pay period into the first day of the next pay period. Changes to this report include the following:
- The last day of the previous week is shown in gray on the schedule. Hours for this day are not calculated in the totals for the report.
- If a report includes spanned shifts, users see a message indicating that shifts shown in gray contain hours that have been spread to another pay period.
Hours distribution in Manager Portal (13255)
In the Manager Portal, the Projected Overtime tile now displays values based on hours distributions so that costs, actual overtime hours, and projected overtime hours reflect shift hours for 168-hour workweeks.
