Editing the Cost Structures Tab

Using Cost structures, you can configure how Budgeting calculates total dollars using units, rates, factors, and fixed dollar amounts. To see a full discussion of these terms, see About Budget Line Data.

There are two different methods of editing the cost structure screens: with ranges and without ranges. KBI, Market Segment, Revenue Center and Percent of Base lines are configured using ranges. Fixed and Job Class lines are configured without ranges. Total and Calculated lines do not have a cost structure tab.

Editing KBI, Market Segment, and Revenue Center Lines

FieldDescription

Rate Table

Represents the dollar amounts associated with the units for KBIs, market segments and revenue centers. Because you name the units during the configuration process, the labels for this table will vary (ADR, Avg. Wage, etc.)

  • From Volume/To Volume—Denotes volume range(s). If you have a rate that never changes: Enter 1 in the From Volume field and up to 99999* in the To Volume field. If you have rates that are based on volume: create separate volume ranges.

Factor           

Adjust for circumstances.

  • From Volume/To Volume—Denotes volume range(s). If you have a factor that never changes: Enter 1 in the From Volume field and up to 99999* in the To Volume field. If you have factors that are based on volume: create separate volume ranges.

Fixed ($)

Enter amounts that are the same every period.  

  • From Volume/To Volume—Denotes the volume range(s). If you have a fixed amount that never changes: Enter 1 in the From Volume field and up to 99999* in the To Volume field. If you have fixed amounts that are based on volume: create separate volume ranges.

*or whatever number is big enough as to be unattainable. For example, you only have 400 rooms so you would enter a number that is slightly greater than 400 in the To Volume field. Or if your volume is based on the number of guests in your very busy restaurant, you may want to enter 200000 because that number is larger than the maximum occupancy of your restaurant, multiplied by the number of days your restaurant is open. Therefore, this is a safe number that you would never exceed.

Editing KBI, Market Segment, and Revenue Center Lines

To edit the Cost Structures tab:

  1. Select the Cost Structures tab.
  2. Determine whether you need to add, delete, or change data.
    • To add a range:
      1. Click the Add Range icon.
      2. Enter a From Volume/To Volume.
      3. Enter data into the Period fields.
      4. (Optional) Repeat Steps a-c for each range you need to create.
    • To delete a range:
      1. Click in any cell of the range you want to delete.
      2. Click the Delete Range icon.
    • To change data:
      1. Triple-click in the cell you want to change to put it in editing mode.
      2. Enter the new data.

Editing Percent of Base Lines

FieldDescription

Percentage Table

Represents the percentage of the base line's total dollars that you spend on a given item if the line represents an expense or the amount you make if the line represents revenue. You may step the rates, based on the total dollars of the base line, or you may have one rate no matter the dollar amounts.

  • From Volume/To Volume—Denotes volume range(s). If you have a rate that never changes: Enter 1 in the From Volume field and up to 99999* in the To Volume field. If you have rates that are based on volume: create separate volume ranges.

  1. Select the Cost Structures tab.
  2. Determine whether you need to add, delete, or change data.
    • To add a range:
      1. Click the Add Range icon.
      2. Enter a From Volume and a To Volume.
      3. Enter data into the Period fields.
      4. (Optional) Repeat Steps a-c for each range you need to create.
    • To delete a range:
      1. Click in any cell of the range you want to delete.
      2. Click the Delete Range icon.
      3. Do one of the following:
        • Click OK to return to the Manage Budget Lines screen.
          Or
        • Click on the next tab you want to edit.
    • To change data:
      1. Triple-click in the cell you want to change to put it in editing mode.
      2. Enter the new data.

Editing Job Class Lines

Rate Table

Represents the average wages that you spend for each hour of labor. Job Class lines do not use ranges.

Enter amounts that are the same every period.

Adjust for circumstances.

Editing Job Class Lines

  1. Select the Cost Structures tab.
  2. Triple-click in the cell below the appropriate Period to put it in editing mode.
  3. Enter the new data.
  4. (Optional) Repeat Steps 2-3 for each Period as appropriate.

Editing Fixed Lines
