Employee View

Use the Employee View of Scheduling to view and modify the schedule with the focus on employees. You can also see how many hours are scheduled versus forecast hours, the number of unfilled shifts, and the percentage of difference between scheduled and forecast hours by day and by job.

Helpful Hint

You can hover your mouse over most areas of Scheduling, and a tool tip will appear. The tool tip displays information pertinent to the data over which you are hovering.


Other information provided: 

  • Hours, days, jobs and assignments for which an employee is scheduled.
  • Total number of available and scheduled hours.
  • Restrictions and conflicts.
  • Number of banked hours an employee has accumulated (if applicable to your property).
  • Scheduled versus forecast hours by day and by Planning Period.
  • Number of unfilled shifts for the day and the Planning Period.
  • Percentage of difference between scheduled hours and forecast hours.

What you can do:

  • Edit an employee's shift.
  • Find available shifts an employee can work and assign them.
  • Clear a schedule in order to manually select employees to fill shifts versus generating a schedule and modifying it. (Available via the Other Actions icon).
  • Compare your scheduled hours to forecast hours and adjust for variances.
  • Schedule overtime, training, and other user-defined categories.

  • Swap schedules between employees. You can take one employee's scheduled shift and switch it with another employee's shift. For example, Employee 1 is scheduled to work from 08:00-16:00 (8:00 A.M.-4:00 P.M.) and Employee 2 is scheduled to work from 12:00-20:00 (12:00 P.M.-8:00 P.M. ). If you swap schedules, Employee 1 will work 12:00-20:00 (12:00 P.M-8:00 P.M.) and Employee 2 will work 08:00-16:00 (8:00 A.M.-4 P.M.)   • Edit shift times, change the job, assignment and/or category to be worked during that shift.
  • Add a shift to an employee's current schedule.
  • View a single employee's schedule for a month at a time.
  • Copy one cell or multiple cells and paste them to multiple destinations. If you are selecting multiple cells, all cells selected must be for the same employee, but the multiple cells can be pasted into multiple destinations.

Note: LMS never schedules overtime, however, you can schedule overtime by editing existing hours or by scheduling new hours.

Expand/Collapse (icons)

Expand—See more of the employee information and schedule information, which reduces the overall number of employees you can view.
Collapse—View more employee schedules and fewer details about the employees and their schedules.

Employee

Identifies the employee, as well as lists the jobs the employee is authorized to work. A star to the left of the employee name indicates that the employee is scheduled to work a job at a property that is not their Home property. This information is available by hovering over the employee name. Right-clicking on the employee's name brings up a menu consisting of: Show Available Shifts, Edit Schedule Config and Edit Employee.

Utilization Bar
                                                          
                              

Provides a visual representation of roughly how many hours an employee is scheduled to work in relation to how many hours they are available to work. For example, a bar that is empty or partially filled indicates that the employee is available to work more hours than they are scheduled to work. A bar that is completely filled indicates that the employee is scheduled to work 100% of the hours they are available. The length of the bar indicates how many hours an employee is available. A bar that is roughly half the size of the other bars, indicates that the employee is only available to work approximately half as many hours as employees who are available for 40 hours.If you hover your cursor over a Utilization Bar a tooltip appears providing you with specific information about how many hours the employee is available to work 40 hours and how many hours they are scheduled.If part of the bar is filled with red, that is an indication that the employee has been scheduled for more hours than they are available.

Shift Finder (Find Available Shifts)

Opens the Available Shifts window which displays all the shifts the selected employee is available to work. You can manually fill shifts by double-clicking on the shift. The shift will move from the Available Shifts to the employee's scheduled shifts. 

Note: If an available shift conflicts with a time off request, it will be shaded in gray.

Optional column selector

Determine which columns to view. Select/deselect the columns from the drop-down menu.

Options include:

  • Bank—Displays information about an employee's accrual of banked hours and compares that information to their Contract Hours. In general, once a specific amount of hours has been worked (contract hours) every hour of overtime worked after that amount adds one hour in the bank. Many companies establish an expiration policy for banked hours. This policy establishes the length of time for which hours can be banked and used. If banked hours are not used before the expiration date, the employee must be paid according to the overtime rules your company has established.
    • Starting Balance—Displays the number of overtime hours accumulated as of the beginning of the month
    • Expired—Displays the number of banked hours that have expired, or are projected to expire during the month.
    • Contract Hours—Displays the number of hours for which an employee has been contracted to work for the month.
    • Scheduled Hours—Displays the number of hours for which an employee is scheduled, or projected to be scheduled for the month.
    • Actual Hours—Displays the number of hours an employee has already worked in the month.
    • Remaining Hours—Displays the number of hours that an employee must still work to fulfill the contract.
    • Gap to Contract—Displays the difference between Actual Hours and Remaining Hours.
    • Ending Balance—Displays the number of hours accumulated as of the end of the month.

Note: An * next to a number indicates that the number is a projected value. Values are not official until all work rules have been run, which usually doesn't happen until the end of the pay period/month.

    • Scheduled (Sch)—Displays the total scheduled hours for the employee.
    • Estimated (Est)—Displays the total actual hours for any full shift starting before the current date and time, plus the total scheduled hours for any scheduled shift starting on or after the current date and time. Contract Hours are also included.
    • Contract (Cont)—Displays the number of contract hours for a Contract employee. If an employee is scheduled for more than the contracted amount for their Home job, a warning will be displayed, and if the row is collapsed, the cell will be highlighted in red. If an employee is not a Contract employee, the type of employee will be displayed instead. For example, H for hourly, S for Salaried, etc.
    • Gap—Displays the contract hours minus the Estimated hours.
    • Spanned hours (Span)—Displays spanned hours, which are hours that spread from the previous planning period.

Availability Bar

Indicates that the employee has limited or no availability for that day either required or preferred. A gray bar indicates preferred time off; a blue bar indicates requested time off; a black bar indicates required time off. For example, an employee who can't work from 08:00 to 12:00 (8:00 A.M.-12:00 P.M.) will have a black bar that starts on the left and extends part way across the bar. If an employee prefers not to work on at all on a specific day, a gray bar will extend all the way across the bar.

Icons (in cells)

There are several icons that may be visible in some cells on the schedule.

  • Red dot—Indicates that the employee has some type of conflict or restriction for the time they are scheduled. Hovering your mouse over the dot will display an explanation of the conflict(s). If you are editing or adding a schedule that causes a conflict, you have the option of accepting or rejecting the new schedule.

    Types of conflict include:
    • Scheduled hours have exceeded available hours
    • Conflicts with daily overtime rules
    • Conflicts with weekly overtime rules
    • Conflicts with minimum shift requirements
    • Conflicts with required time off
    • Conflicts with maximum shift requirements

  • Person—Indicates that a shift has been manually added or changed.
  • Coffee cup—Indicates that the shift has a scheduled break. Hovering your mouse over the icon displays information about the break.
  • Clock—Indicates that the shift is part of a regular or permanent schedule.
  • Yellow paper—Indicates that a note has been is attached to the shift. You can hover your mouse over the icon to view the text, or you can double-click the icon to edit the note.

Statistics Area

Displays pertinent schedule data. You can view data for Scheduled Hours, Projected Hours, and the percentage of staff Coverage, for a single job or for all jobs. The first column displays data for Total Scheduled and Projected hours, as well as the percent of Coverage, for the selected period. The number of hours Scheduled and Projected, as well as the number of scheduled shifts and Overtime information are displayed for each day. Rolling your cursor over statistics for a day displays the following comparisons:

  • Scheduled (Scheduled  Hours / System Projected Hours)—Indicates the number of hours that are currently scheduled, as well as the number of hours that the system determined were needed to accomplish the tasks when the Generate Forecast Labor process was run. The number of scheduled hours will change as you fill, unfill, and/or delete shifts. However, the System Projected Hours will not change. The numbers will also change as you select a different job. (See Scheduling for more information about the System Plan). If scheduled hours are more than the acceptable variance, the cell will be highlighted in red. If the scheduled hours are less than the acceptable variance, the cell will be highlighted in yellow.
  • Projected (Scheduled Hours / Manager Planned Hours)—Indicates the number of hours that are currently scheduled, as well as the number of hours that have been adjusted by the manager(s). The number of scheduled hours will change as you fill, unfill, and/or delete shifts, however, the System Projected Hours will not change. The numbers will also change as you select a different job. (See Scheduling for more information about the System Plan).
  • Costs—Indicates the daily and weekly costs associated with the schedule based on employee hourly rates and hours worked. When hovering over the row, additional information regarding the costs for the shift are displayed in a tool tip.
  • Scheduled/System Generated/Manager Planned/Unfilled Shifts—Indicates the number of shifts that are scheduled, the number of shifts that were generated by the system, the number of shifts generated by a manager, and the total number of unfilled shifts.
  • Coverage—Displays a percentage showing the variance between Scheduled and Forecasted. Clicking on this number, or right-clicking anywhere in the statistics area and selecting View Coverage Chart, displays the Coverage Chart.

    You can also view:
  • Coverage Chart—Visualizes differences between the plan generated by the system and the manager's adjusted schedule. Click on the Coverage percentage number or right-click anywhere in the statistics area and select View Coverage Chart. Note: any unacceptable variances in the statistics are highlighted in red.

Show Available Shifts

Opens the Available Shifts window to manually change an employee's schedule.

Edit Employee

Opens the Employee Maintenance screen to make changes to the employee's information.

Show Full Month                                                      

Opens the Employee Month Calendar to view shift information:

  • Time off requests
  • Totals for regular Overtime & Double Time hours by week
  • Accrual balances

Add/Show Time Off Requests

Opens the Employee Requests screen to add, edit or view Time Off Requests.

Edit Schedule Config

Opens the Employee Schedule Configuration screen to add or change Availability and/or Regular Schedules.

Make Regular Schedule

Determine if the employee's schedule is a regular or permanent schedule.

Expand All/Collapse All                        

Expand All—Globally opens all employee information to see more of the employee information and schedule information. When expanded, the overall number of schedules you can view is decreased. 
Collapse All—Globally closes all employee schedule information to view more employee schedules and fewer details about the employees. When collapsed, the overall number of schedules you can view is increased.

Add Shift

(keyboard shortcut: Shift + Enter) Add shifts that were not forecasted. Add shifts at times when you know extra help is needed, but was not projected in the forecast.

Edit Shift

(keyboard shortcut: Enter) Change the Start/End Times of the shift, as well as the Job and Assignment.

Delete Employee from Schedule

Removes the employee currently scheduled to work that shift. Deleting an employee from the schedule creates an unfilled shift but doesn't delete the shift. You can also highlight several shifts by dragging over the shifts then selecting Delete Employee from Schedule or pushing the Delete key on your keyboard.

Cut Shift                                                  

(keyboard shortcut: Ctrl + X) Remove a scheduled shift and schedule a different employee to work the shift. To re-schedule, right-click in the appropriate day for the employee you want to work the shift, and select Paste. You can also use this process to re-schedule the shift with the same employee, but on a different day.

Copy Shift(s)

Copying one shift—(keyboard shortcut: Ctrl + C) Copy the information for a scheduled shift and create a new shift that is exactly like the original shift. To create the new shift, you right-click in empty cell and select Paste (Ctrl + V). You can also paste the same copied shift to multiple destinations.

Copying multiple shifts—Highlight multiple cells, and use the right-click menu to copy and then paste in multiple destinations. When selecting multiple cells, all the cells selected must be for the same employee, but the copied cells can be pasted into multiple destinations. If you paste copied shifts into a cell that currently has a scheduled shift, that shift will replaced with the copied shift, and the original shift will be considered an unfilled shift. You can also copy multiple cells by holding down the Ctrl key and dragging and dropping the highlighted cells to a new destination.

Notes:

  • If you do not hold down the Ctrl key before dragging, the shifts will be moved rather than copied.
  • If you attempt to paste a shift(s) to an employee that cannot work the job you are trying to paste, you will see a red circle icon with a line through it. That means that you will not be able to paste in that cell.

Add Notes or Label

Add a note to a scheduled shift, as well as a label, such as On Call, that is visible on the schedule.

Show Accrual BalancesOpens the Accrual Balance Summary screen to view all the accrual balances for an employee.
Add Time Off RequestEnter time off requests for an employee.
