Viewing Schedules

You can view and edit schedules from two different perspectives: Shift View and Employee View. The Shift View is shift-centric. This means it displays the schedule by shift and by day, as well as who is currently scheduled for the shift. The Employee View is employee-centric. This means it displays employees who are scheduled for what job on what day, as well as their availability usage (scheduled hours versus available hours) and the shifts that are still available for an employee to work. Both views display statistics for Scheduled Hours and Forecasted Hours, the number of unfilled shifts, and whether the forecasted hours for that day are fulfilled.

The first step in viewing or editing schedules is to designate the jobs you want to view/edit. You do this by clicking the Select Jobs icon. A list of jobs for which you have access, appear in the Job Selector. You can select one job or multiple jobs as desired.

Before editing, you should analyze the schedule that was generated by the System Administrator, paying special attention to any variances in the scheduled versus forecasted hours and the number of unfilled shifts, which are displayed in the statistics area, as well as to employees who are under- or over-scheduled. After the schedule has been analyzed and you have identified schedule changes, you can make the appropriate adjustments in either view.

Changes to employee information should be made prior to the System Administrator generating the schedule.

About Scheduling Conflicts

In observing the schedule, you may notice colored dots in the editing cells. These symbols indicate that the employee has some type of restriction or conflict. If you hover your mouse over the dot, you will see an explanation such as In Overtime.

If there is a conflict you have three options:

  1. Select Yes to accept the new schedule despite the conflicts.
  2. Select No and return to the schedule without saving the edits.
  3. Select Cancel. 

If the new schedule is accepted with conflicts, conflict flag(s) appear in the editing cell. To view the meaning of a conflict, click the View Conflict icon on the toolbar.
