The Shift View allows you to see which shifts are unfilled (white cells), which shifts are filled (blue cells), and which employees are filling those shifts. You can also see, by day and by job, how many hours are scheduled versus system projected hours, scheduled hours versus manager adjusted hours, the number of unfilled shifts, and the percentage of difference between scheduled and system projected hours. Adjust the schedule as appropriate. Any unacceptable variances between scheduled hours and planned hours (from either the system plan or manager's plan) are highlighted in red. Schedules can be viewed for one job or several jobs at a time. If you display multiple jobs, the statistics will change depending on which job is highlighted. What you can do:
- Restore the schedule to the system generated schedule, copy the prior Planning Period schedule, clear the schedule so you can manually select employees to fill shifts versus generating a schedule and modifying it, as well as recalculate shifts if any changes have been made to employee maintenance or system configuration.
- View a Staff Coverage chart. This chart graphically displays System Plan and Manager's Schedule (Manager planned) hours.
- Swap schedules between employees. You can take one employee's scheduled shift and switch it with another employee's shift. For example, Employee 1 is scheduled to work from 08:00-16:00 (8:00 A.M.-4:00 P.M.) and Employee 2 is scheduled to work from 12:00-20:00 (12:00 P.M.-8:00 P.M.). If you swap schedules, Employee 1 will work 12:00-20:00 (12:00 P.M.-8:00 P.M.) and Employee 2 will work 08:00-16:00 (8:00 A.M.-4:00 P.M.).
- Fill shifts that are unscheduled.
- Designate a different employee to work a shift than the one scheduled.
- Edit shift times.
- Delete shifts.
- Delete schedules which will change a Filled shift to an Unfilled shift.
- Change the job, assignment, and/or category to be worked during that shift.

Filled Shifts/ Unfilled Shifts | Blue highlighted cells—Indicates that the shift is filled and displays pertinent information about the scheduled employee and shift details. White highlighted cells—Indicates that the shift is currently unfilled and displays shift details. |
Icon alerts (in cells)                                                                   | There are several icons that may be visible in some cells on the schedule. - Red dot—Indicates that the employee has some type of conflict or restriction for the time they are scheduled. Hovering your mouse over the dot displays an explanation of the conflict(s). If you are editing or adding a schedule that causes a conflict, you have the option of accepting or rejecting the new schedule.
     Types of conflict include:
- Scheduled hours have exceeded available hours.
- Conflicts with daily overtime rules.
- Conflicts with weekly overtime rules.
- Conflicts with minimum shift requirements.
- Conflicts with required time off.
- Conflicts with maximum shift requirements.
- Person—Indicates that a shift has been manually added or changed.
- Coffee cup—Indicates that the shift has a scheduled break. Hovering your mouse over the icon displays information about the break.
- Clock—Indicates that the shift is part of a regular or permanent schedule.
- Yellow paper—Indicates that a note has been is attached to the shift. You can hover your mouse over the icon to view the text, or you can double-click the icon to edit the note.

Statistics Area | Displays pertinent data pertaining to the job(s) you selected. You can view data for a single job or for multiple jobs. Data is displayed as totals for the period and by day. - Scheduled Hours / System Projected Hours—Indicates the number of hours that are currently scheduled, as well as the number of hours that the system determined were needed to accomplish the tasks when the Generate Forecast Labor process was run. The number of scheduled hours will change as you fill, unfill, and/or delete shifts. The System Projected Hours will not change. The numbers will also change as you select a different job.
- Scheduled Hours / Manager Planned Hours—Indicates the number of hours that are currently scheduled, as well as the number of hours that have been adjusted by the manager(s). The number of scheduled hours will change as you fill, unfill, and/or delete shifts. The System Projected Hours will not change. The numbers will also change as you select a different job.
- Scheduled/System Generated/Manager Planned/Unfilled Shifts—Indicates the number of shifts that are scheduled, the number of shifts that were generated by the system, the number of shifts generated by a manager, and the total number of unfilled shifts.
- Schedule Coverage—Displays a percentage showing the variance between Scheduled and Forecasted. You can click on this number and the Staff Coverage chart is displayed.

Change Employee                               | (keyboard shortcut: Enter) Schedule a different employee for the shift. - Rank—Indicates the priority status of the employee for working that job. Employees who are the best fit have the lowest rank, and those that are a lesser fit and/or have restrictions/conflicts have a higher rank. The employee currently filling that assignment is listed at the top.
- Employee—Lists the employees who are trained and available to work in that job. This list is created by the same algorithm as that used in the Generate Schedule process.
- Property—Indicates which property the employee normally works. If you only have one property, this column will not be visible.
Availability—Indicates whether an employee has availability issues for that day. A black bar that begins on the left and extends half way across the cell indicates that the employee is not available for the first half of the day. Likewise, a bar that begins in the middle and extends to the right means that the employee is not available for the last half of the day. Scheduled—See how many hours the employee is scheduled. Available—See how many hours an employee is available to work. Banked—See any banked hours they may have.

Delete Employee from Schedule | (keyboard shortcut: Delete) Removes the employee currently scheduled to work that shift. | Deleting an employee from the schedule creates an unfilled shift but doesn't delete the shift |
Cut Shift | (keyboard shortcut: Ctrl + X) Remove a scheduled employee from a shift and assign them to a different shift. For example, Employee A is scheduled from 08:00 to 16:00 (8:00 A.M. to 4:00 P.M.) on Wednesday. You select the cell and cut the employee. Find the shift you want the employee to work and paste. The shift on Wednesday is now an unfilled shift and the employee is scheduled for the new shift. |

Copy Shift | (keyboard shortcut: Ctrl + C) Allows you to copy the employee currently scheduled for a shift and replace an employee scheduled for a different shift with that employee. For example, Employee A is scheduled from 08:00 - 11:00 on Tuesday, and you copy that cell. Find the shift for which you want to schedule this employee then right-click and select Paste. The employee that was previously scheduled for the job will be replaced with the new employee and will now be scheduled for both shifts. |

Fill Shift | Manually select an employee to fill a shift. - Weight—Indicates whether the employee has potential conflicts which would make them less desirable as a choice to fill the shift. The system takes into consideration, and assesses points, if the shift will put an employee into Overtime, exceed their available hours for the week, and/or overlaps their Availability and Time Off. A weight of 0 means that there are no conflicts and the employee is a good fit. A weight of 8 indicates that there are potential conflicts and the employee is not the best fit.
- Rank—Indicates the priority status of the employee for working that job. The rank is assigned in Employee Maintenance and is based on a manager's preferences on who they want scheduled in what order. Employees are ranked in order of best fit to least fit. The rank is not an order indicator. The employee currently filling that assignment is listed at the top, regardless of their rank. For example, if an employee with a rank of 4 is currently scheduled for the job, they will be at the top of the list. Likewise, if an employee has a rank of 1, but a weight of 7, they will be at the bottom of the list.
- Employee—Lists the employees who are trained and available to work in that job. This list is created by the same algorithm as that used in the Generate Schedule process.
- Home Job—Indicates the job the employee normally works and which has been designated as the Home Job. If the employee is a cross-property employee, the property code will be displayed within brackets. You can see where employees' Home Jobs are. If you want to fill a shift, you can select an employee closest to the location of the shift to be filled.
- Availability—Indicates whether an employee has availability issues for that day. A black bar that begins on the left and extends half way across the cell indicates that the employee is not available for the first half of the day. Likewise, a bar that begins in the middle and extends to the right means that the employee is not available for the last half of the day.
- Scheduled—See how many hours the employee is scheduled.
- Available—See how many hours an employee is available to work.
- Banked—See any banked hours they may have.
