Copying datasets/budgets can save time and/or preserve data for reference purposes. You can copy one full dataset or you can add a second dataset and copy specific periods from one dataset and different periods from another dataset. For example, you can copy periods 1-9 from the first dataset and periods 10-12 from the second dataset. If the end period for dataset 1 overlaps with the start period for dataset 2, the overlapping periods will be summed. In essence, you are merging two datasets into one new dataset.
To create a new budget by copying existing datasets:
- In the toolbar, click the Main Menu icon ( ).
- From the drop-down list, under the Financial section, select Budgeting.
The Budgeting screen appears in a separate tab.
For more information, see Budgeting. - Click the Utilities button ( ).
- From the drop-down list, select Copy Dataset.
The Copy Dataset dialog box appears. - In the To Dataset section, complete the following steps to define the dataset to which information will be copied:
- From the Year drop-down list, select the year to which you will copy datasets.
- From the Type drop-down list, select the type of dataset that information will be copied to.
- In the From Dataset section, complete the following steps to define the dataset from which information will be copied:
- Click the First Period cell and select a period from the drop-down list.
- Click the Last Period cell and select a period from the drop-down list.
- Click the Year cell and select a year from the drop-down list.
- Click the Dataset cell and select a dataset from the drop-down list.
- Optionally, to add another dataset from which to copy, complete the following steps:
- Click Add Dataset.
A new row appears. - Repeat steps 6a to 6d.
- Click Add Dataset.
- Optionally, to delete a dataset, click to highlight the row and then click Delete Dataset.
- Select the appropriate check boxes if you want to exclude KBIs, hours, and/or rate adjustments in the new dataset.
Click OK.
The dialog box closes, and the dataset is created. It is named using the year and type that you selected in the To Dataset section.
