The Employee The Employee Month Calendar gives a way to view and modify the schedule for a single employee for a whole month. Here you can see shift information about time off requests, totals for regular, overtime, & double time hours by week, notes, and accrual balances. To access the calendar, right-click on the employee's name and select Show Full Month.

Highlighting and Icons           

The colors and icons associated with shifts include:

Blue highlighted shift box—Indicates that this is a regular shift.
Red highlighted shift box—Indicates that the shift has a conflict.
Lock—Indicates that the day(s) are not in the current week and cannot be edited.
Orange border around cell—Indicates the current day.
Yellow paper icon—Indicates that there is a note attached to the shift.
Yellow highlighted shift box and paper icon—Indicates that there is a label/note attached to the employee.
Red highlighted cell—Indicates that there is a Time Off Request (personal leave, vacation, etc.) on that day.

Statistics pane

Displays the number of regular, overtime, and double-time hours an employee worked (if not the current week) and how many hours the employee is scheduled to work (if for the current week).


Display options include:

  • All Jobs—Displays the statistics for all jobs.
  • Single Job—Displays the statistics for a specific job.

Add Shift 

Add shifts that were not forecasted. Add shifts at times when you know extra help is needed, but was not projected in the forecast.


Edit Shift 

Change the Start the Start Time and End Time of the shift, as well as the Job and Assignment. 

This option appears only if there is an existing shift on the selected day.

Delete Employee from Schedule 

Removes the employee currently scheduled to work that shift. Deleting an employee from the schedule creates an unfilled shift but doesn't delete the shift. 

This option appears only if there is an existing shift on the selected day.

Cut Shift                                                                                          

Remove a scheduled shift and schedule a different employee to work the shift. To re-schedule, right-click in the appropriate day for the employee you want to work the shift and select Paste. You can also use this process to re-schedule the shift with the same employee, but on a different day.

This option appears only if there is an existing shift on the selected day.

Copy Shift

Copy the information for a scheduled shift and create a new shift that is exactly like the original shift. To create the new shift, you right-click in empty cell and select Paste.

This option appears only if there is an existing shift on the selected day.
Add LabelAdd a label to the schedule, such as On Call, that is visible on the schedule. This option appears if there is no shift scheduled for the selected day
Edit LabelChange the label to the scheduleThis option appears only if there is an existing label.
Delete LabelDelete the label from the schedule.This option appears only if there is an existing label.

Add Notes or Label

Add a note to a scheduled shift, as well as a label, such as On Call, that is visible on the schedule. 

This option appears only if there is an existing shift for the selected day.

Show Accrual Balances

View the accrued balances, if applicable, for an employee on that day.


Add Time Off RequestAdd a Time Off Request for a selected day.
Edit Time Off RequestEdit the Time Off Request for the selected day.This option appears only if there is an existing Time Off Request.
CancelCloses the menu.
