The Selected Event Details pane contains detailed information about the event that you select in the Event Order pane. Most of the information that appears in this pane is imported from your company's Event Management System (EMS). You use the Selected Event Details pane to review and edit events. If you edit fields in this pane, the updated information appears in the Event Orders pane. 


The following buttons appear at the top of the Selected Event Details pane:

Although sections and fields for this pane vary depending on the selected event in an event order, you typically see the following sections:

Event information section

This section provides general details about the event. The header for this section is the event order number and the name of the event.

This icon appears only if the section is expanded.

Expand

Click to expand the event information section.This icon appears only if the section is collapsed.
Event Order - details
EO #

Unique identification number for the event order.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

Although editable, the EO# should not be changed.

 

Event OrderTitle of the event order. 
Status

Status of the event order. Statuses include:

  • Canceled
  • Definite
  • IGNORE
  • Prospect
  • Tentative
 
Start Time

Start date and time of the event.

  • Date – Starting date of the event order. Edit this field by changing the value in the field or by selecting the date from the fly-out calendar menu.
  • Time – Starting time of the event order. Edit this field by changing the value in the field or by selecting the time from the drop-down menu.
 
End Time

End date and time of the event..

  • Date – End date of the event order. Edit this field by changing the value in the field or by selecting the date from the fly-out calendar menu.
  • Time – End time of the event order. Edit this field by changing the value in the field or by selecting the time from the drop-down menu.
 
RoomsClick the Rooms section header to sort by rooms. 
Icon column (Flag icon) – Indicates that an event is "dirty," meaning that work content needs to be generated or regenerated for the event.To quickly generate work content for this event, click the flag icon ( ).
(Exclamation mark icon) - Event exception (exc.) Indicates that there is missing information or a potential problem. 
Room column

List all the rooms where all events for an event order will occur.

The value in the field is READ-ONLY.
EMS Information and Events

Click the Event # section header to sort by unique identification number of the event in the customer's Event Management System (EMS).

Click the Events section header to sort by events.

 
Event #

Unique identification number of the event in the customer's Event Management System (EMS).

 
EventName of the event.The value in the field is READ-ONLY.

Details

Headings for this section vary depending on the type of event and event details. This section provides specific details about the event selected in the EMS section.

View Work Details

Opens Work Details dialog box. You use this dialog box to review setup and service work related to the selected event.

Default: When you open the Selected Event Details pane, only event information and details sections are expanded.

This icon appears only if the section is expanded.

Expand

Click to expand section.This icon appears only if the section is collapsed.
Details - main section
Ignore

Check box to ignore this specific event in the event order.

Ignoring an event ensures that the UniFocus software will not calculate labor for the event.

 
EventName or title of the event. 
Date

Date on which the event occurs.

Edit this field by changing the value in the field or by selecting the date from the fly-out calendar menu.

 
Start Time

Start time of the event.

Edit this field by changing the value in the field or by selecting the time from the drop-down menu.

 
End Time

End time of the event.

Edit this field by changing the value in the field or by selecting the time from the drop-down menu.

 
Room

Room where the event occurs.

Edit this field by selecting a room from the drop-down menu.

 
Style

Setup style of the event.

Edit this field by selecting a style type from the drop-down menu.

 
Theme

Overriding theme of the event.

Edit this field by selecting a theme type from the drop-down menu.

 
Planned

Number of attendees planned to attend the event.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

 
Guaranteed

Number of attendees guaranteed to attend the event.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

 
Set

Set guest count.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

 
Actual

Actual guest count.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

 

Resources

The Resources section lists the type and number of resources required for the event. Resources include items and supplies like tables, chairs, podiums, power strips, microphones, and whiteboards.

Add Resource

Opens the New Event Resource dialog box. Use this dialog box to add a new resource.

Delete Resource

Deletes resource.

Expand

Click to expand section.

This icon appears only if the section is collapsed.

Resources - table

Ignore

Check box to ignore resource and count.

 

Count

Number of resources needed.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

 

Resource

Name of the resource.READ-ONLY.

Functions

Functions are the activities associated with events. Examples include meals, breaks, and bars. Functions are automatically added to events based on a number of EMS criteria, such as event type, room, menu notes, and beverage notes. You can manage functions in this section.

Functions - main section

Function

Name of the function. 

Start Time

Start time of function.

End time of function.

Edit this field by changing the value directly in the field or by using the up and down arrows to the right of the field to increase or decrease the value by increments of one.

 

Exceptions

The Exceptions section lists event exceptions or problems with the event.

Exception

An explanation of the type of exception. Examples include:

  • Missing guest count.

  • Missing setup style.
  • Overlapping events exist.

  • Undesirable style.

The value in the field is READ-ONLY.

Notes

The Notes section displays tabs with various types of notes that were entered in your EMS.

Setup Notes – Contains notes about event setup. For example, this section might include a list of items such as notepads, pens, and candles.

All notes that appear under this tab are READ-ONLY.

Beverage Notes Contains notes about beverages for the event.

All notes that appear under this tab are READ-ONLY.

(Camera icon)

A/V Notes Contains notes about audio and video for the event.

All notes that appear under this tab are READ-ONLY.

(Menu icon)

Menu Notes Contains notes about the menu for the event. This section might contain the full menu for the event.

All notes that appear under this tab are READ-ONLY.

(Page icon)

Other Notes Contains miscellaneous notes about the event.
