Time Clocks (Configuration)

Use this screen to configure your Time Clocks. You can also designate specific clocks that may or may not be used for specific jobs. For example, you may not want a employees to punch in on a clock that is a 10 minute walk from their job location. To ensure that the employee does not waste time walking to their job or accumulate overtime, you would restrict access for punching in to all time clocks that are out of an acceptable range. Note that every time clock that is part of the active payroll system must be configured.

Property-level configuration

On the Time Clock configuration screen, click Property Level Configuration to open the Property Level Configuration dialog box to edit settings that apply to all clocks at a property.

Punch ID Method

Allows you to designate the type of ID required to punch in at the clock: Single Property Emp ID,
Single Property Badge No, Cross Property Emp ID, Cross Property Badge No, or Job Badge No

Enable Manager Overrides

Allows you to determine whether managers can override restrictions on time clocks. If enabled, for example, a manager who calls in an employee that isn't scheduled, can override the clock allowing the employee to clock in.

Enable Employee Punch Corrections

Allows you to determine whether employees have the ability to correct missed punches on the time clock. If enabled, an employee who forgets to clock back in from their Break, can fix that missing punch at a later date.

Enable UFTC Restrictions

Allows you to restrict the type of punches an employee can use at specific clocks. For example, an employee may not be allowed to punch in or out on the Break Room clock, they may only be allowed to punch Break and Break Back on that clock. If enabled, time clock restrictions can be configured in Employee Maintenance for specific employees, or in the Time Clock configuration for restrictions by job.

Enable UFTC Can Change Jobs

Allows you to control whether the time clocks display the Change Jobs button. This is helpful if you need an employee to switch jobs mid-shift. If enabled, the employee can simply go to the time clock, select Change Jobs and enter the new job.

Enable UFTC Punch To Schedule

If selected, authorizes the Time Clock to automatically associate an employee's punch with a job, based on the schedule. If there is no scheduled job for the employee, the Home job is used.

Enable Auto Punch Mode

If selected, employees do not have to punch for the following punch types: In, Out, Break, or Back.

Prompt to Enter Tips

Indicates that employees should see a prompt when they punch out, asking them whether they wish to enter their tips. If this feature is not selected, the employee is automatically taken to the tip entry screen.

Mask Employee NumbersAllows you to denote that Employee IDs should be masked when they are entered in the time clock.

Bypass Employee PIN

Allows an employee to log in with their Employee ID rather than their Employee PIN.

Punch To Schedule Pre-Grace Minutes

Allows you to denote the length of time prior to their scheduled shift start time, that an employee can punch in and still have the system match the punch with the scheduled job. For example, let's assume that an employee is scheduled as a Cook from 8:00-16:00, and the pre-grace period is set to 30 minutes. If the employee punches in at 7:30 the system would know to associate the punch with the Cook job. If the employee punches in at 7:25, which is outside the 30 minute grace period, the system will associate the punch with the employee's Home job.  Note that this feature is only available if UFTC Punch to Schedule is enabled.

Allows you to denote the length of time after their scheduled shift start time, that an employee can punch in and still have the system match the punch with the scheduled job. For example, let's assume that an employee is scheduled as a Cook from 8:00-16:00, and the post-grace period is set to 15 minutes. If the employee punches in at 08:10, the system would know to associate the punch with the Cook job. If the employee punches in at 08:18, which is outside the 15 minute grace period, the system will associate the punch with the employee's Home job.  Note that this feature is only available if Enable UFTC Punch To Schedule is selected.

Configuration settings for all Time Clocks

Use the General and Restrictions tab to edit setting that affect all Time Clocks.

Clock Type

Allows you to select the type of time clock from which you are pulling punches.


Active

Denotes whether the clock is currently being used.


Connection Type

Denotes how the software connects to the time clock.

  • Direct—Indicates that the time clock connects directly to a computer and there is a direct transfer of data.
  • Modem—Indicates that data is transferred via a modem.
  • Network—Indicates that data is transferred via a network.

Com Port

(only visible if there is a Direct Connection Type).


Baud Rate

(only visible if there is a Direct Connection Type).


Phone No

(only visible if there is a Modem Connection Type).


Modem Init String

(only visible if there is a Modem Connection Type).


IP Address

(only visible if there is a Network Connection Type). Indicates the IP address of the computer to which you are connecting.


IP Port

(only visible if there is a Network Connection Type).


Time Zone

Identifies the time zone where the time clock physically resides.


LatitudeLatitude coordinates of the clock.
LongitudeLongitude coordinates of the clock.
Radius (meter)The radius (in meters) to establish the geofence of the clock. 

Reader ID

Denotes the clock ID.


GPS Validation Mode

Determines whether the virtual Time Clock has GPS validation mode enabled. With GPS validation enabled, employee punches are accepted only if the location-based services are enabled on employees' mobile devices and if they are punching (using the UniFocus Mobile App) within the geofence of the virtual Time Clock.

Note: The geofence is determined by the longitude, latitude, and time zone of the virtual Time Clock.

  • Allow Punch—If selected, there are no location-based service restrictions. Employees can punch using the Mobile App.
  • Disallow Punch—If selected, employees cannot punch using the Mobile App and will receive notification messages if they do not have location-based services enabled on their mobile devices or if they are outside of the geofence of a virtual Time Clock location. 
  • Store as Rejected Punch—If selected, the following occurs for employees who do not have location-based services enabled on their mobile devices or are outside of the geofence of a virtual Time Clock location:
    1. Employees receive a notification that their devices are outside of the configured geofence and that their punches will be stored for manager review. 
    2. Employees are allowed to punch.
    3. The punches appear in employees' Time Card screens as a rejected punches.

This field only applies to virtual Time Clocks.

Default: Allow Punch.

Labor Item

Allows you to specify specific divisions, departments, jobs and assignments can punch in/out on the clock.

In / Out

If selected, employees can punch In and/or Out on a specific clock based on division, department, job or assignment. To apply this restriction, select the In and/or Out check boxes.

Break / Back

If selected, employees can punch out for a Break or in when they come Back from a break, based on division, department, job or assignment. To apply this restriction, select the Break and/or Back check boxes.
