Labor-Scheduler

The Labor/Scheduler configuration lets you specify default property information that is labor-related.

Terms and Definitions

Shift Length

  • Min. Shift.  Indicates the minimum number of hours an employee can be scheduled in a shift.
  • Max. Shift. Indicates the maximum number of hours an employee can be scheduled in a shift.

Variances

  • Forecast. Allows you to define the tolerance range used when comparing the percentage of forecast hours to scheduled hours. Any variance that falls outside the range you specified will be noted in the Weekly Forecast Exception report.

    In the From and To fields you will enter the tolerance range to be used when

    compares the percentage of forecast hours to scheduled hours. The standard entry is 5 for both fields (From = 5, To = 5 because the To field implies negative).
  • Standard.  Allows you to define the tolerance range used when comparing the percentage of standard hours to actual hours. Any variance that falls outside the range you specified will be noted in the Daily Hours Variance Analysis and Weekly Hours Variance Analysis reports.

    compares the percentage of standard hours to actual hours. A common entry is 5% for both fields (From = +5, To = -5).

Scheduling

  • Schedule State. Reflects the current state of the employee schedules.
    • Closed for Editing. Closes the scheduling process so that no further changes can be made.
    • Open for Home Jobs. Allows you to edit employee’s Home job schedules.
    • Open for Secondary Jobs. Allows you to cross-utilize labor resources by scheduling employees for jobs other than their Home jobs.
  • Project Weeks Out. Reflects the number of weeks you want to project. Generally, the period is one week out, but you can specify up to four weeks out. The Forecast Weeks Out drop-down list lets you specify whether you will be projecting volumes and hours for next week (one week out), the week after (two weeks out), etc. If the time lapse between the day you complete a projection and the first day of the period for which you are projecting is less than seven days, you are projecting one week out. If you complete your projection on a Wednesday for the period beginning in four days (Sunday) and ending seven days after that (Saturday) you are projecting one week out even though the last day of the projection period is actually 10 days from the day you completed your projection. If you complete your projection on Thursday for the period starting in nine days (Saturday), you are projecting two weeks out.
  • Schedule Mode. The Availability Bar displays Monthly Availability or Weekly Availability.
  • Planning Period Type. Allows you to determine whether you wish to view Planning data Weekly, Bi-Weekly (every two weeks), Semi-monthly (1-15 or 16-30/31) or Monthly. The choice you make here determines the date choices in the date drop-down menus and how many days are displayed on the Schedule. For example, if you select Monthly as the Period Type, the dates available in the date drop-down menu and the Schedule will be displayed for a whole month. If you choose Weekly, a list of weeks will be displayed in the drop-down menu.
  • Planning Period Start Day of Month. Select the day on which a new period starts every month. This field is pre-configured by Tech Support and is not editable.
  • Planning Period End Date. Allows you to determine the end date of the period. For example, if you choose Monthly, you would enter the last day of the month (for example, 9/30/2013). If you chose Weekly, you enter the last day of your work week (for example, 9/8/2013).
  • Week Ending Day. Allows you to denote which day is the end of your property's work week.
  • Period End Date. Allows you to select the date of the last day of the period for which you want to generate a forecast/schedule. NOTE: The Period Ending Date should be today's date plus the number of weeks you choose in the Forecast Weeks Out. For example, if today's date is 9/15/2005 and you chose 2 Weeks Out for your Forecast Weeks Out, you would enter 9/29/2005 as your Period Ending Date.
  • Period Length. Allows you to set the time increments you want to show on your schedule. Your choices are ten minutes, fifteen minutes or thirty minutes.
  • Enable Banked Hours. Allows you to enable or disable the banked hours feature.
  • Banked Hours Accrual. Allows you to determine how the Banked Hours are accrued.

Overtime Factors

  • OT. Allows you to specify the rate that determines how standard overtime hours are calculated. A standard entry for this field is 1.5.

    uses this value to convert worked hours to paid hours.
  • DT. Allows you to specify the rate that determines how double overtime hours are calculated. A standard entry for this field is 2.0.

    RMS

    uses this value to convert worked hours to paid hours.

Standards
                                       

Used to segregate job and assignment standards.

  • Projected Hours Standard Set. Select the standard set that you want to use in your projections.
  • Standard Hours Standard Set. Select the standard set that you want to use when doing analysis.
  • Lock Labor Standards. Allows an administrator to lock configuration fields that affect Hours Generation and the calculation process, so only authorized users are able to make changes to the following:
    • Labor/Scheduler: Min. Shift, Max Shift, Projected Hours, and Standards Hours.
    • Forecast Structure, Flow Pattern, Seasons, Standard Sets: All fields
    • KBI Distribution: Edit or Generate percentages for both Primary and Secondary tabs.
    • Labor Structure > Division/Department: Min. Shift, Max Shift, Breaks
    • Labor Structure >Division/Department > Job/Assignment > General tab: Standards, Salary mode, Unit, Breaks, Effective Dates
    • Labor Structure >Division/Department > Job/Assignment > Scheduler tab: Load Shift, Min. Shift, Max. Shift
    • Labor Structure >Division/Department > Job/Assignment > Shifts tab: all fields
    • Labor Structure >Division/Department > Job/Assignment > Staffing tab: all fields
    • Labor Structure >Division/Department > Job/Assignment > Standards tab: all fields
  • Use Actual Flows for Standards. Use historical Flow Patterns (unchecked) or Actual Flow Patterns (checked).
  • Use Job Level Data in Standard Dollars. Allows you to include the following type of hours in labor standards to determine rate calculation:
    • Auxiliary labor hours (hours and costs by job).
    • Hours and dollars imported from interfaces.
    • Hours entered manually through application.

Employee Configuration

  • Min Employee ID Length. Defines the minimum number of characters that can be used for the employee identification number you will configure during the employee configuration process. 
  • Max Employee ID Length. Defines the maximum number of characters that can be used for the employee identification number you will configure during the employee configuration process. 
  • Employee ID Generator. Select to automatically generate the Employee ID or to enter it manually.
  • Punch ID Method. Allows you to denote what type of ID employees use to punch at the time clock. For example, if Employee ID is selected, the employee would be required to enter their Employee ID when they punch the time clock.
